Translation Guidance

What You Need to Know

Apa itu terjemahan diperakui?

A certified translation is a translation accompanied by a signed statement from the translator or agency confirming that the translated document is a complete and accurate translation of the original. In Malaysia, certified translations are required when submitting official documents to embassies, immigration authorities, courts, and universities abroad. The certification includes the translator’s name, signature, date, and — for agency certifications — an official stamp.

Learn more about certified translation →

Certified vs. notarised translation: what’s the difference?

A certified translation is signed by the translator or agency confirming accuracy. A notarised translation takes this further — the translator’s signature is witnessed and verified by a licensed notary public. Notarisation adds a layer of legal authentication and is required by USCIS (US), certain court proceedings, and some European institutions. In most Malaysian immigration and university submission cases, certified translation is sufficient without notarisation.

See when notarisation is required →

Can I use Google Translate for official documents?

No. Machine translation tools — including Google Translate, DeepL, and ChatGPT — are not accepted for certified document submissions to government authorities, embassies, immigration services, or courts. Official submissions require a human translation with a signed certification from a qualified translator or registered agency. Using machine-translated content for official purposes is likely to result in rejection of your application.

Why human translation is required →

When is SDS translation required in Malaysia?

Safety Data Sheet (SDS) translation is required in Malaysia under the Occupational Safety and Health (Classification, Labelling and Safety Data Sheet of Hazardous Chemicals) Regulations 2013. Hazardous chemicals imported or manufactured in Malaysia must have SDS documents available in Bahasa Melayu. Bilingual SDS (English and Bahasa Melayu) is the accepted standard. SDS translation must follow the 16-section GHS format and use correct technical and chemical terminology.

Still have questions?

What is a certified translation in Malaysia?

A certified translation in Malaysia is a translated document accompanied by a signed statement from the translator or translation agency confirming that the translation is complete and accurate. Certified translations are required when submitting official documents to embassies, immigration authorities such as Singapore ICA or Australian DIBP, universities, or courts. The certification statement typically includes the translator’s name, qualifications, signature, date, and the agency’s stamp.

How much does professional translation cost in Malaysia?

Professional translation in Malaysia typically costs between RM0.35 and RM1.50 per source word, depending on language pair, subject complexity, and turnaround time. The average is approximately RM0.45 per word, or around RM120 per standard A4 page. Certified translations for official documents may carry a fixed fee per document. Omni Translation charges from RM0.35 per word with a minimum order of 300 words. A fixed-price quote is provided free of charge before you commit.

Di Malaysia, berapa lamakah masa yang diambil untuk menyiapkan satu terjemahan diperakui?

Standard certified translation of a single document in Malaysia takes 24–48 hours from order confirmation. Documents of up to 900 words can usually be delivered within 24 hours. Larger volumes may take 3–5 business days. Urgent same-day or next-day delivery is available for selected language pairs and document types. Your exact turnaround time is confirmed at the quoting stage based on document length and current workload.

What is the difference between certified and notarised translation?

A certified translation carries a signed statement from the translator or agency confirming accuracy — sufficient for most embassies, immigration authorities, and universities. A notarised translation goes further: the translator’s signature is witnessed and authenticated by a licensed notary public. Notarisation is required for certain submissions including USCIS (US immigration), some court proceedings, and specific European institutions. Omni Translation will advise on whether notarisation is required based on your submission authority.

Can I use Google Translate or ChatGPT for certified documents?

No. Machine translation tools such as Google Translate, DeepL, and ChatGPT are not accepted for certified or official document submissions to government agencies, embassies, immigration authorities, or courts. These submissions require a human translation with a signed certification statement from a qualified translator or registered agency. Using machine translation for official purposes is likely to result in rejection of your application.

How do I get my Malaysian documents translated for Singapore?

To translate Malaysian documents for Singapore authorities — including ICA (immigration and citizenship), MOM (work passes), MOE (school enrolment), or CPF — you need a certified English translation of each document. Common documents required include birth certificates, marriage certificates, academic certificates (SPM, STPM, diplomas), and police clearance certificates. Omni Translation regularly prepares certified translations of Malaysian documents specifically for Singapore government submissions.

Which documents require certified translation in Malaysia?

Documents commonly requiring certified translation include: birth certificates (for immigration, citizenship, or school enrolment abroad), marriage certificates (for spousal visa applications), academic transcripts and SPM/STPM results (for overseas university applications), death certificates (for inheritance and probate), divorce certificates (for remarriage abroad), police clearance certificates (for work visa applications), and SDS/MSDS documents (for Malaysian OSH compliance). The receiving institution determines whether certification, notarisation, or apostille is also required.

What is SDS translation and when is it required in Malaysia?

SDS translation refers to professional translation of Safety Data Sheets (formerly MSDS). In Malaysia, the OSH (Classification, Labelling and Safety Data Sheet of Hazardous Chemicals) Regulations 2013 require SDS for hazardous chemicals to be available in Bahasa Melayu. Bilingual SDS (English and Bahasa Melayu) in the 16-section GHS format is the accepted standard. SDS translation requires specialist translators familiar with chemical terminology and regulatory requirements.

Does Omni Translation offer notarisation or legalisation?

Omni Translation can advise on notarisation and legalisation requirements and guide you through the process. Notarisation involves having the translator’s signature witnessed by a licensed notary public. Legalisation (or apostille for Hague Convention countries) authenticates the notary’s signature for international use. Requirements vary by destination country and receiving institution. We will advise on the correct level of authentication required based on where you intend to submit the document.

Yes. Omni Translation is a trading name of Omni-One Incorporated Sdn Bhd (Company No. 394749-W), a private limited company incorporated in Malaysia in 1996. Some of our translators are members of the Malaysian Translators Association (MTA).
